It's one of the most common questions we hear from businesses in Malta: should we build custom software or use an off-the-shelf solution? The answer, as with most things in technology, is 'it depends.' But there are clear signals that point in one direction or another.
Off-the-shelf solutions like Salesforce, HubSpot, or Shopify are excellent starting points. They're proven, well-supported, and can get you up and running quickly. For a startup or small business with standard workflows, they often make perfect sense. The total cost of ownership in the first 1-2 years is typically lower, and the learning curve is manageable.
But here's where it gets interesting. As businesses grow, their processes become more unique. A corporate services firm in Malta might need document workflows that don't fit neatly into any existing CRM. An iGaming operator might need real-time analytics dashboards that off-the-shelf BI tools can't deliver with the speed and specificity required.
Custom software shines when your competitive advantage depends on how you operate. If your internal processes are what set you apart from competitors, forcing those processes into a generic tool means losing that edge. Custom software is built around your workflows, not the other way around.
The cost equation also shifts over time. Off-the-shelf solutions charge per-user licensing fees that compound as you scale. A team of 50 paying per-seat for multiple SaaS tools can easily spend more annually than the one-time cost of a custom-built system that does exactly what they need.
Our recommendation? Start with off-the-shelf where possible, but plan for custom. Identify the 2-3 workflows that are truly unique to your business and build custom solutions for those.
