When Lexis Corporate Services first reached out to us, their biggest pain point wasn't technology — it was time. It was tedious, error-prone, and taking them away from high-value advisory work.

The onboarding process for a new corporate client typically involves collecting 15-20 documents (ID verification, proof of address, company registration documents, bank references, etc.), verifying each one, and filing them in the correct order. With everything happening via email, documents got lost, versions got confused, and follow-ups fell through the cracks.

We built a branded client portal that automated the entire workflow. When a new client engagement begins, the system automatically generates a personalised document checklist, sends the client an invite to the portal, and tracks every document submission in real time. Each document upload triggers automatic validation checks and routes to the appropriate team member for review.

The portal also integrates with WhatsApp and email for automated reminders. If a client hasn't uploaded a required document within 48 hours, they receive a gentle nudge. If they upload an incorrect format, the system immediately notifies them of the issue and what's needed. This eliminated the constant back-and-forth that was consuming so much staff time.

The results after 3 months were remarkable: client onboarding time dropped by 60%, 90% of documents were collected digitally (vs. 40% before), client NPS scores jumped from 42 to 71, and the team reclaimed 15+ hours per week. More importantly, staff morale improved dramatically — they were finally doing the advisory work they were hired for, not chasing documents.
